Job Description

Very busy entrepreneur seeks a Senior Executive Assistant to keep them on-task, organized and successful. The ideal candidate will possess a quiet confidence, have a no-drama personality and thrive on keeping another person organized – both professionally and personally.  They enjoy being the behind-the-scenes person.

Our client needs a top-notch EA (C-level) who understands the right-hand connection to the CEO and can interface and present in a polished and professional manner to the executive team.  They are very big on tenure and will not consider big gaps of unemployment and job hopping.

The job is heavy on scheduling.  This person also does A LOT of personal stuff for our client and their family.

 

Job Requirements

Requirements/duties:

  • 8+ years of Executive Assistant experience working 1-to-1 for a busy entrepreneur
  • Regular and reliable attendance, including occasional activities beyond normal working hours;
  • Perform administrative functions for executive: to include copying, filing, scanning, processing and submitting expense reports, processing invoices, booking travel;
  • Prepare routine impromptu correspondence, letters, memos, Board Minutes;
  • Comprehensive time management for executive,  including management of executive’s calendar; scheduling of  personal and Board events; establish and monitor conference calls and providing timely notice on all events;
  • Screen incoming calls and correspondence, and respond independently when appropriate;
  • Manage the outward perception and reputation of the executive and assistant (working as one);
  • Demonstrate a high level of mature interpersonal skills to independently handle sensitive and confidential situations on behalf of executive; position requires demonstrated poise, tact and diplomacy;
  • Maintain confidentiality of all corporate and personal matters;
  • Manage activities involving executive’s personal life (non-profits, family) with complete discretion.
  • Willingness to be guardian of executive’s time by shielding questions/requests/distractions;
  • Constant state change in schedule and focus of a small company atmosphere will  require seamless communication, a “can do” attitude;
  • Candidate must have the confidence to be self-motivated and to act autonomously when necessary;
  • Sophisticated Microsoft Suite skills
