Job Description

This role offers a dynamic work environment, combining time spent in the office, at retail properties, and working remotely. The ideal candidate will manage a portfolio of retail centers, oversee day-to-day property operations, and handle all aspects of property management while working in a team-oriented, fast-paced setting.

 

Key Responsibilities

  • Conduct monthly property inspections to ensure the upkeep of the retail centers, identifying any maintenance or operational issues that need attention.
  • Coordinate and oversee repairs and preventive maintenance to maintain the properties in top condition.
  • Ensure timely rent collection from tenants and follow up on any delinquent payments.
  • Take appropriate actions to address late or unpaid rents, including working with legal or collections teams if necessary.
  • Prepare and deliver monthly property reports to the property owner and management team, which include financial summaries, tenant updates, and operational status.
  • Review and ensure the accuracy of all financial reports, including income statements, budgets, and expenditure reports.
  • Manage communications with tenants, ensuring that their concerns and issues are addressed quickly and effectively.
  • Serve as the main point of contact for all tenant needs, ensuring that leases and agreements are followed and relationships are maintained.
  • Manage communications with vendors, overseeing contracts, service agreements, and ensuring the proper execution of vendor-related tasks.
  • Maintain regular communication with property owners about the status of their properties.
  • Organize and facilitate monthly conference calls to discuss property performance, financial, upcoming projects, and tenant updates.
  • Oversee tenant retention strategies by maintaining positive relationships with tenants, identifying potential risks of vacancy, and working to resolve issues that could lead to tenant turnover.
  • Collaborate with the leasing team to help retain tenants, working with them to renew leases and negotiate terms where appropriate.
  • Maintain accurate tenant documentation, ensuring that lease agreements, insurance certificates, and compliance documents are up-to-date and stored securely.
  • Ensure compliance with lease provisions and legal requirements.
  • Administer lease agreements, ensuring tenants comply with the terms of the lease, including payment schedules, insurance requirements, and use of the property.
  • Manage enforcement of lease compliance, including handling defaults and addressing violations.
  • Ensure that tenants submit and maintain Certificates of Insurance and track gross sales when required by the lease terms.
  • Oversee property accounting, including:
    • Defaults and collections procedures
    • Annual reconciliations of operating expenses and common area maintenance (CAM) charges
    • Preparation and oversight of budgets for each property
    • AR/AP coding and approval, ensuring accurate tracking and approval of invoices and payments
    • Collections of overdue payments from tenants
    • Cash management related to property finances and ensuring funds are appropriately allocated
    • Property tax appeals, managing the process and ensuring taxes are assessed correctly.
  • Supervise all vendor relationships and ensure that services are rendered as per agreements.
  • Oversee the bidding process for services and projects, ensuring competitive pricing and quality work.
  • Manage insurance requirements for vendors and ensure compliance with property insurance policies.
  • Supervise construction projects related to tenant build-outs, capital improvements, and property renovations.
  • Manage the process for both landlord-initiated and tenant-initiated improvements or modifications.
  • Ensure that construction projects are completed on time, within budget, and meet quality standards.
  • Oversee project management for capital expenditure projects, tenant improvement projects, or any other large-scale property initiatives.
  • Develop detailed project plans, manage the bidding process, and ensure that projects stay within budget and meet all deadlines.
  • Ensure that all projects comply with building codes, zoning laws, and other legal regulations.

Job Requirements

Qualifications

  • Minimum of 3 years in Retail Property Management with hands-on experience in managing multiple retail centers.
  • Active Virginia Real Estate License (required as of your start date).
  • Reliable transportation and a clean driving record are essential for traveling to properties in the Metro DC area.
  • Proficient in Microsoft Word and Excel. Experience with Yardi property management software is a plus.
  • Strong attention to detail and organizational skills
  • Excellent communication and interpersonal skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Experience in tenant retention and vendor management
  • Knowledge of property accounting, including budgets, collections, and cash management
