Job Description

The Administrative Assistant will provide vital support to the Office of Background Investigation & Credentialing by coordinating and tracking testing procedures for sworn personnel. This role will involve administrative duties, effective communication with internal and external stakeholders, and ensuring compliance with testing protocols.

Responsibilities:

  • Coordinate and track testing schedules for applicants and personnel undergoing background investigations.
  • Utilize the Apex Applicant Tracking System (ATS) to manage candidate information, scheduling, and testing processes.
  • Ensure a secure and compliant testing environment, adhering to required testing protocols.
  • Provide general administrative support to the Office of Background Investigation & Credentialing team.
  • Maintain and update records, databases, and documents to ensure accuracy and confidentiality.
  • Interact professionally with sworn personnel, applicants, and external stakeholders.
  • Assist in the proctoring of exams and assessments, ensuring compliance with established guidelines.
  • Ensure all paperwork and documentation related to background investigations are handled promptly and accurately.
  • Maintain professionalism in all communications, both verbal and written.
  • Perform general office tasks such as filing, data entry, and managing office supplies.

Job Requirements

Qualifications:

  • Strong organizational and time-management skills, with the ability to handle multiple tasks and deadlines efficiently.
  • Excellent written and verbal communication skills, with the ability to interact effectively with sworn personnel and external stakeholders.
  • Proficiency in office software, especially Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), as well as experience in database management.
  • High attention to detail and accuracy, especially when handling sensitive and confidential information.
  • Ability to maintain professionalism and composure in a fast-paced, high-pressure environment.
  • Previous experience in administrative support, preferably in law enforcement, legal, or government settings.
  • Familiarity with protocols related to sworn personnel positions, or a willingness to learn.
  • Experience with proctoring exams or assessments and ensuring compliance with testing protocols.
  • Familiarity with social media platforms (e.g., LinkedIn, Indeed) for recruitment and outreach purposes.
  • The ability to adapt quickly to changing priorities in a dynamic environment.
  • The ability to work effectively both independently and as part of a team.
  • Strong confidentiality and professional integrity are required when dealing with sensitive data and personnel information.
