Job Description

We are seeking a highly professional and well-organized Front Desk Receptionist to be the first point of contact for visitors, clients, and staff at our office. This position plays a critical role in maintaining a positive and professional first impression of our company. The ideal candidate will possess excellent communication skills, be punctual, and present a polished, business-professional appearance. While the phone volume is relatively low, administrative tasks and ensuring the office runs smoothly will be a key part of this role. 

Responsibilities:

  • Greet visitors in a friendly and professional manner as they arrive.
  • Confirm the visitor's identity, purpose, and appointment, ensuring only authorized individuals are allowed access to the office.
  • Escort visitors or direct them to the appropriate person or meeting room as necessary.
  • Maintain a professional demeanor at all times, even in stressful situations.
  • Perform general administrative tasks, including updating address changes, filing, and organizing documents.
  • Process incoming mail and packages and distribute them accordingly.
  • Assist with scheduling or coordinating appointments, meetings, and events when required.
  • Ensure the reception area is clean, organized, and stocked with necessary supplies.
  • Handle light data entry and ensure accurate record-keeping for visitors and correspondence.
  • Answer incoming calls, directing them to the appropriate department or personnel.
  • Take messages and ensure timely communication with relevant team members.
  • Maintain a calm and professional phone manner, particularly when dealing with inquiries or concerns.
  • Screen visitors and vendors to ensure security protocols are followed, ensuring unauthorized individuals do not gain access to the office.
  • Monitor and control the entry of office staff, visitors, and delivery personnel into the building.
  • Balance a variety of administrative tasks throughout the day, such as handling calls, managing the reception area, performing clerical duties, and assisting other team members.
  • Be prepared for occasional overtime or earlier start times, particularly during busy periods

Job Requirements

Qualifications:

  • Must adhere to a business-professional dress code, which is a step above business casual. Your attire should reflect the company’s image as you will be the first impression visitors have of the organization.
  • Must have exceptional verbal and written communication skills. You should be able to speak confidently, answer inquiries effectively, and interact with all levels of staff and visitors.
  • Professional phone etiquette is essential.
  • Must be friendly, approachable, and able to interact with visitors in a positive and courteous manner.
  • Able to politely turn away unauthorized visitors and manage sensitive situations with tact and discretion.
  • Ability to handle multiple administrative tasks simultaneously while maintaining attention to detail.
  • Must be well-organized and able to prioritize tasks effectively.
  • Tardiness is not tolerated, and reliability is essential. You will be the first person visitors see, so being prompt and present is critical.
  • Must be able to adhere to regular working hours (8:00 AM – 4:00 PM), with the flexibility to work mandatory overtime as required reporting at 7:30am if needed. 
  • While phone and visitor volumes may be light, the role involves plenty of administrative duties and "busy work." The ideal candidate should be comfortable in a role where tasks may involve data entry, paperwork, and other routine, non-interactive duties.
  • Comfortable using office equipment such as phones, printers, and computers. Basic knowledge of office software (Word, Excel, etc.) and the ability to quickly learn any proprietary software or systems used by the company.
  • This position may not be suitable for candidates who thrive in high-energy, fast-paced environments. The role is primarily focused on administrative support and the management of a calm and orderly front desk.
  • A positive attitude, professionalism, and strong attention to detail are critical to success in this position.
