Job Description

We are seeking an energetic, personable, and dependable individual to join our dynamic team responsible for managing a large government campus. The Property Assistant will provide administrative support and assist the Property Management Team with day-to-day operations. The ideal candidate will be organized, tech-savvy, and able to thrive in a fast-paced environment.

 

Responsibilities

  • Support the on-site property management office by managing office and kitchen supplies, maintaining proper inventory levels.
  • Provide support for copiers and IT issues.
  • Set up meeting appointments and coordinate the office calendar.
  • Maintain and manage the visitor access database.
  • Ensure vendor/contractor security clearance and access requirements are obtained proactively.
  • Create purchase orders and process invoices according to workflow approvals.
  • Prepare contracts for signature and update project folders.
  • Assist in scheduling and coordinating contract services such as landscaping, trash removal, pest control, maintenance services, and inspections.
  • Assist with routine property and site inspections, noting deficiencies, and recommending and implementing solutions.
  • Perform general administrative duties including copying, updating/distributing weekly reports, maintaining organized electronic records, and preparing monthly financial reports.
  • Plan and coordinate appreciation events and other special events for staff.
  • Develop and maintain relationships with building staff, tenants, and contractors.
  • Assist with other tasks and responsibilities as needed.

Job Requirements

Requirements:

  • Bachelor's or Associate's degree (preferred).
  • Minimum 2 years’ experience in a support role, preferably in property management, construction, or related fields.
  • Strong attention to detail and organizational skills.
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat.
  • Comfortable working in a fast-paced environment.
  • Strong communication skills and ability to present professionally in a corporate setting.
  • Must be willing to obtain a Top-Secret security clearance, including a full-scope polygraph.
  • Must pass a federal background check.
  • No personal cell phones, tablets, or similar devices allowed on property. Family contact will be through a desk phone.
  • Ability to work with an escort on-site until clearance is obtained.
  • On-call availability for emergencies outside of regular hours.
