Job Description

We are seeking an experienced and results-driven Portfolio Manager to oversee the daily operations, administrative functions, and financial performance of a portfolio of 10–12 residential communities, including condominiums, HOAs, and cooperatives. This is a full-time, onsite role ideal for a professional who thrives in a fast-paced environment and brings strong leadership, operational expertise, and customer service skills.

 

Responsibilities

  • Oversee all aspects of association operations across a portfolio of 10–12 properties, ensuring efficient, compliant, and high-quality service delivery.
  • Maintain accurate records of property operations and Board activities.
  • Prepare and present detailed monthly management reports for Boards of Directors, including inspections, contract updates, violations, and insurance matters.
  • Develop annual budgets for Board review and monitor financial performance throughout the fiscal year.
  • Serve as the primary liaison between Boards of Directors and management teams.
  • Ensure compliance with community rules, regulations, and governing documents.
  • Coordinate competitive bidding processes and manage vendor contracts.
  • Conduct routine (weekly) property inspections of buildings, grounds, and amenities to uphold quality and compliance standards.
  • Oversee preventative maintenance programs and maintain proper documentation.
  • Manage contractor performance, ensuring all required documentation is current (e.g., certificates of insurance, warranties, lien releases).
  • Provide recommendations on energy efficiency initiatives and capital improvement planning.
  • Maintain a comprehensive contract calendar, tracking renewals and bid timelines.
  • Lead incident reporting and insurance claims; support Boards with disputes or litigation as needed.
  • Assist in developing and implementing standard operating procedures for maintenance and operations.

Job Requirements

Qualifications

  • Bachelor’s degree preferred.
  • Minimum of 3 years’ experience managing condominiums, HOAs, or cooperative communities, across multiple properties.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong financial acumen, including budget development and report analysis.
  • Excellent organizational, project management, and analytical skills.
  • Strong communication and conflict-resolution abilities.
  • Knowledge of building systems and property maintenance best practices.
  • Experience supervising staff and managing vendor relationships.
  • Valid driver’s license, reliable transportation, and appropriate insurance coverage required.
  • Ability to travel between properties using a personal vehicle.
  • Flexibility to attend Board meetings and accommodate scheduling needs based on management contracts.
