Job Description

As an Administrative Support Specialist, you will perform a range of administrative duties essential to the success of the LSS and Department. You will play a key role in enhancing administrative functions, identifying issues, and recommending solutions to ensure smooth operations.

 

Responsibilities:

  • Maintain the financial system for outsourced expenditures and generate reports. Prepare purchase requests and authorizations; serve as liaison with the Accounting Department and Purchasing Unit.
  • Assist Analysts with casework, including data entry, proofreading documents, and vendor coordination for trial setups.
  • Maintain departmental tracking sheets and files, including case/project files, subject files, and vendor files. Establish new files and manage a “reference collection” of periodicals and other informational resources.
  • Maintain the department calendar to track leave and training; coordinate department meetings and events. Assist the Director and Manager as needed.
  • Provide excellent customer service, working effectively in a team environment and independently. Answer phones, including the main department number; distribute mail and route requests to appropriate staff.
  • Assist with ordering supplies, arranging travel, and securing various reimbursements. Maintain assignment and contact information, and assist with departmental status reports.
  • Perform other duties as assigned.

 

Job Requirements

Qualifications

  • Bachelor's degree.
  • Must have prior legal experience. 
  • Excellent communication, organizational, and interpersonal skills.
  • Strong service orientation with an understanding of the importance of developing effective working relationships.
  • Proficiency in Microsoft Office and document management systems.
  • Identifies problems and recommends solutions, always working to improve the administrative functions of the department.
  • Able to work effectively in a team environment and independently.
  • Demonstrates timely and regular attendance.
