Job Description

As an Administrative Support Specialist, you will perform a range of administrative duties essential to the success of the LSS and Department. You will play a key role in enhancing administrative functions, identifying issues, and recommending solutions to ensure smooth operations.

 

Key Responsibilities:

  • Maintain financial systems for outsourced expenditures, generate reports, prepare purchase requests and authorizations. Act as a liaison with the Accounting Department and Purchasing Unit.
  • Support Analysts with data entry, document proofing, and vendor coordination for trial setups.
  • Maintain and organize departmental tracking sheets, case/project files, subject files, and vendor files. Establish new files and manage a reference collection of periodicals, books, and other resources.
  • Update the departmental bulletin board with information about upcoming conferences, training opportunities, and points of interest. Track leave and training on the departmental calendar.
  • Coordinate departmental meetings and events. Provide assistance to the Director and Manager.
  • Maintain assignment and contact information, and assist with various departmental status reports.
  • Provide excellent customer service, working effectively both as part of a team and independently.
  • Answer phones, including the main department line. Distribute mail and route requests to appropriate staff.
  • Assist with ordering supplies, arranging travel, and securing reimbursements. Ensure timely and regular attendance.
  • Perform other duties as assigned.

 

Job Requirements

Qualifications

  • Bachelor's degree.
  • Excellent communication, organizational, and interpersonal skills.
  • Strong service orientation with an understanding of the importance of developing effective working relationships.
  • Proficiency in Microsoft Office and document management systems.
  • Identifies problems and recommends solutions, always working to improve the administrative functions of the department.
  • Able to work effectively in a team environment and independently.
  • Demonstrates timely and regular attendance.
