Job Description

The Legal Administrative Assistant provides comprehensive support to attorneys and paralegals, ensuring the delivery of high-quality legal services. This role involves managing correspondence, legal documents, court filings, and scheduling, while anticipating and addressing client needs effectively.

Key Responsibilities:

  • Exercise independent judgment to prioritize daily tasks, ensuring high-priority items are completed promptly.
  • Type, transcribe, revise, modify, and proofread correspondence, memoranda, legal documents, and forms from drafts, originals, or dictation. Prioritize assignments and meet deadlines.
  • File electronic and non-electronic documents with various courts.
  • Process new clients and matters using NBI software. Prepare and submit conflict check forms, screening forms, and new matter request forms. Set up engagement letters.
  • Maintain and coordinate attorneys' calendars, scheduling appointments, depositions, and meetings. Remind attorneys of upcoming dates.
  • Make travel arrangements and prepare itineraries.
  • Initiate or gather necessary materials from files, Records Department, Legal Information Services, etc., for assignments.
  • Review, route, and process incoming and outgoing mail. Arrange for specialized mail or messenger services as needed.
  • Answer and screen telephone calls. Assist callers independently and use discretion to escalate urgent or emergency calls to attorneys or appropriate parties.
  • Enter and/or release attorneys’ time as required. Maintain a list of billing numbers for assigned timekeepers. Prepare and submit expense reports.
  • Organize and maintain digital and hard files, working with the Records Department.
  • Assist other administrative assistants with work overflow. Knowledge of Trademark practice is a plus.
  • Perform other responsibilities and tasks as requested.

Job Requirements

Qualifications

  • High school diploma or GED required; one to two years of post-high school education preferred.
  • Three to five years of legal support experience with strong litigation skills. Experience in additional practice areas is a plus.
  • Knowledge of state, federal, and appeal court procedures, including PACER and ECF filing procedures.
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint). Familiarity with NetDocuments, Elegrity, File Trail, Aderant Expert Time, and Chrome River is helpful. Ability to use a redlining tool.
  • Excellent written and verbal communication skills, including grammar, spelling, and proofreading.
  • High level of organizational ability, with capacity to multi-task and meet deadlines independently.
  • Ability to deliver superior, professional services to internal and external clients.
  • High degree of confidentiality concerning clients, guests, documents, and conversations.
  • Ability to work overtime when required.
  • Minimum typing speed of 55 WPM.
