Job Description

Responsibilities: 

  • Type, transcribe, revise, and proofread documents with precision and attention to detail.
  • Ensure all completed work is free from typographical errors and meets the highest quality standards.
  • Manage workload efficiently to meet deadlines and maintain high productivity.
  • Proactively communicate with attorneys about project timelines and updates.
  • Log incoming work, track time for billing, and maintain accurate records daily.
  • Assist in maintaining inventory and supplies within the Center.
  • Stay up to date with software and equipment, sharing knowledge and tips with team members.
  • Provide support and basic troubleshooting for network applications.
  • Answer incoming calls and provide updates on project status, estimated completion, delivery times, and software-related inquiries.
  • When needed, assist with tasks such as faxing, copying, paging, taking phone messages, and delivering documents.
  • Work cooperatively in a shared, team-oriented environment, respecting communal use of workstations, supplies, and equipment.
  • Follow all firm and departmental policies and procedures.

Job Requirements

Requirements:

  • 3–4 years of legal word processing experience in a law firm or similar professional services environment.
  • Advanced proficiency in Microsoft Word, with solid skills in Excel (intermediate) and PowerPoint (general).
  • Familiarity with Nuance OmniPage, Adobe Acrobat Professional, and TextMap transcript management software.
  • Excellent grammar, spelling, punctuation, and proofreading skills.
  • Strong attention to detail and a commitment to producing error-free documents.
  • Ability to prioritize tasks, manage multiple projects, and meet deadlines under pressure.
  • Comfortable working in a collaborative, shared workspace (the “Center” environment).
  • Solid communication skills with the ability to interact professionally with attorneys and staff.
  • Tech-savvy, with the ability to learn new software, equipment, and tools quickly.
  • Willingness to assist with general administrative tasks when necessary, including evenings and weekends.
  • Dependable, proactive, and able to work independently with minimal supervision.
