Job Description

We are seeking a highly organized and motivated Legal Assistant to join our growing Estates & Trusts practice. This role offers the opportunity to work closely with an experienced Paralegal and two attorneys, gaining hands-on experience in estate administration, probate, and tax-related matters. The ideal candidate is detail-oriented, proactive, and capable of managing multiple administrative and paralegal tasks in a professional legal environment.

 

Responsibilities:

 

  • Provide comprehensive administrative and paralegal support for probate and estate administration matters, ensuring all deadlines and filings are met accurately.
  • Assist in the preparation and review of estate, gift, and fiduciary tax returns, collaborating with attorneys and accounting staff as needed.
  • Organize, maintain, and update client files, estate documentation, and related records, ensuring accessibility and compliance with firm policies.
  • Support the Paralegal with day-to-day case management tasks, including calendaring, document preparation, and client communications.
  • Professionally communicate with clients, vendors, and internal team members regarding case updates, deadlines, and inquiries.
  • Track and report data related to active cases, including document submissions, deadlines, and status updates, using Excel and other office software.
  • Maintain strict confidentiality and demonstrate meticulous attention to detail in all work products.
  • Assist with ad hoc administrative projects, including document formatting, proofreading, and office organization.

 

Shift: Monday - Friday 9a-5p (in office) 

Job Requirements

Qualifications:

 

  • Prior experience in Estates & Trusts is highly desirable but not required; willingness to learn is essential.
  • Strong organizational, multitasking, and prioritization skills; ability to manage multiple cases simultaneously.
  • Proficiency in Microsoft Excel and basic office software; experience with estate or tax software is a plus.
  • Excellent written and verbal communication skills, with the ability to interact professionally with clients and colleagues.
  • Ability to work full-time in-office and thrive in a collaborative, small-team environment.
  • Commitment to accuracy, confidentiality, and professionalism in handling sensitive legal matters.
