Job Description

This position provides high-level secretarial and administrative support to a team of attorneys within a collaborative legal environment. The ideal candidate will be detail-oriented, organized, and able to handle a variety of tasks efficiently in a fast-paced, professional setting.

 

Key Responsibilities:

  • Provide administrative support to a team of 2–3 Legal Administrative Assistants (LAAs)

  • Manage schedules, coordinate meetings, and book travel arrangements

  • Draft, proofread, and revise correspondence and legal documents

  • Maintain electronic and hard-copy filing systems

  • Enter and submit attorney time entries and assist with billing processes

  • Serve as a point of contact for internal and external stakeholders

  • Assist with onboarding, document preparation, and meeting logistics

  • Maintain and update lawyer preference documentation

  • Participate in the firm’s Legal Administrative Assistants Certification Program

  • Perform other administrative duties as assigned


Additional Information:

  • Must check in daily with LAA Administration and Floor Coordinator

  • Coordinate time off with team members and obtain approval in Workday

  • All overtime requires pre-approval

  • Timely submission of time sheets and consistent attendance is required

  • Uphold a high level of confidentiality and professionalism

Job Requirements

Qualifications:

  • High school diploma required; college degree preferred

  • Prior secretarial/administrative experience essential

  • Prior law firm experience a plus 
  • Strong written and verbal communication skills

  • Excellent organizational and interpersonal abilities

  • Attention to detail with the ability to multitask and manage competing deadlines

  • Discretion in handling confidential information

  • Capable of working independently and within a team

  • Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint)

  • Experience with iManage Work 10, Intapp Time, Intapp OPEN, and Chrome River is a plus
