Job Description

The Receptionist/Administrative Assistant is a key support role requiring professionalism, discretion, and strong organizational skills. This position involves direct interaction with attorneys, legal assistants, management, clients, and vendors, and supports the workflow of the DC Office while occasionally assisting the NY Office. The ideal candidate is computer-savvy, detail-oriented, and able to manage multiple tasks in a collaborative, team-oriented environment.

 

Responsibilities:

 

  • Serve as the primary point of contact for incoming calls and visitors, ensuring prompt and professional responses.
  • Screen and route calls, take accurate messages, and schedule or coordinate appointments and conference calls.
  • Prioritize and manage tasks efficiently, exercising sound judgment in the absence of attorneys and delegating appropriately.
  • Maintain attorneys’ calendars, including meetings, deadlines, and client-related activities.
  • Prepare and distribute materials via mail, courier, fax, or other delivery methods.
  • Enter daily time entries, expense reimbursements, and disbursement requests in CHROME.
  • Support attorneys and legal assistants with special projects as needed.
  • Attend all mandatory training sessions, including technology updates and firm seminars.
  • Provide courteous and professional assistance to internal and external clients.
  • Ensure high attention to detail and accuracy in all tasks.
  • Demonstrate flexibility regarding hours, assignments, and overtime to meet the Firm’s needs.

 

 

Shift: Monday - Friday 9:30a-6p, in office 

Job Requirements

 

Qualifications

 

  • Minimum of 3 years of administrative or law firm experience.
  • Must be able to work 5 days on-site (Monday–Friday).
  • Proficient in Microsoft Office Suite (Word, Outlook, PowerPoint, Excel).
  • Strong typing, filing, telephone, and written communication skills (including grammar and spelling).
  • Ability to work cooperatively in a team-oriented environment.
  • Familiarity with document management systems is a plus.
