Job Description

Our client is seeking an Administrative Assistant to support a high-responsibility operational division.
This is an on-site, full-time role (five days per week), Monday–Friday from 8:00 a.m. to 4:30 p.m.

This position is available for an immediate start.

The Administrative Assistant will provide essential administrative and operational support, including scheduling, correspondence tracking, reporting, and coordination of division activities. This role requires someone mature, professional, and fully aware of the seriousness and importance of the work.


Responsibilities include:

Scheduling & Coordination

  • Scheduling evaluations and appointments for personnel.

  • Preparing and distributing weekly status reports.

  • Developing, routing, and tracking correspondence for review and approval.

  • Supporting credentialing and access-related processes as needed.

  • Assisting with calendar management and meeting coordination.

Administrative Practices & Procedures

  • Preparing procurement requests, training documentation, travel orders, vouchers, and other administrative forms.

  • Requisitioning office supplies, equipment, and publications; reconciling purchase orders.

  • Reviewing reports and correspondence for accuracy, compliance, formatting, and completeness.

  • Supporting the development and revision of administrative policies and procedures.

  • Preparing correspondence, charts, graphs, presentations, and statistical reports using standard office software.

  • Maintaining and organizing data within information management systems, including forms, mail logs, directives, and publications.

Support Services

  • Responding to inquiries regarding division functions and operational needs.

  • Assisting with administrative problem-solving and following up to ensure timely responses.

  • Completing routine calculations such as cost estimates, workload data, and staff hour summaries.

  • Preparing narrative and graphical materials for management or program analysis.

  • Organizing staff meetings, reserving rooms, notifying participants, and preparing minutes.

  • Maintaining leadership calendars and coordinating appointments.

Mail, Correspondence & Report Processing

  • Reviewing incoming correspondence, directives, and publications to determine action requirements.

  • Establishing tracking systems for incoming tasks and ensuring timely follow-up.

  • Drafting administrative reports and internal correspondence based on leadership guidance.

  • Verifying compliance with grammar, formatting, style, and policy standards.

  • Coordinating responses to internal information requests and assembling required documentation.

  • Returning documents for revision when they do not meet established standards.

 

Pay: $24.65 per hour plus $5.09 H&W = $29.74 per hour.

Job Requirements

Demonstrated maturity, professionalism, and sound judgment

  • Strong awareness of the sensitivity, confidentiality, and seriousness of the work performed in this operational environment.

  • Prior administrative support experience, preferably in a structured, compliance-driven, or high-accountability setting.

  • Excellent written and verbal communication skills.

  • Strong attention to detail, accuracy, and document quality.

  • Strong organizational skills and the ability to maintain detailed logs, records, and tracking systems.

  • Reliable, punctual, and committed to consistent in-office attendance.

  • Ability to maintain professionalism when dealing with sensitive personnel information or time-critical tasks.

  • Professional dress is required.
