Job Description

Responsibilities

 

  • Requisition office supplies, equipment, and publications; reconcile purchase orders.
  • Assist the Administrative Officer (AO) with procurement requests, training and travel documentation, vouchers, and other forms.
  • Review reports, correspondence, and management/program analysis documents for format, content, and proper distribution.
  • Explain reporting procedures and requirements to staff and operating officials.
  • Develop or revise administrative policies and procedures to improve organizational efficiency.
  • Compile and distribute reports on program goals, budgets, staffing levels, and performance metrics.
  • Prepare routine office correspondence, charts, graphs, statistical information, PowerPoint presentations, and reports using office software.
  • Maintain and update information management systems, including forms, records, mail, directives, and publications.
  • Respond to and coordinate inquiries about office functions and services.
  • Plan and manage a variety of administrative and support services.
  • Provide guidance on administrative problems and ensure timely responses.
  • Perform routine calculations, including cost estimates, production rates, staff hours, and workload figures.
  • Prepare charts, graphs, and narrative information for management or program analysis reports.
  • Coordinate staff meetings, reserve rooms, notify participants, and prepare minutes.
  • Maintain the Office Director’s calendar, scheduling and rescheduling appointments as needed.
  • Review incoming correspondence, publications, regulations, and directives; take action or seek clarification as appropriate.
  • Evaluate and improve correspondence processes across multiple organizational segments.
  • Establish control records for incoming correspondence and action items; follow up to ensure timely completion.
  • Compile requested information from internal offices and prepare reports or correspondence independently.
  • Review documents requiring coordination for accuracy, compliance, and format; return items for correction when necessary.
  • Perform other duties as assigned, including occasional emergency operations support due to the nature of police and law enforcement operations.
  • Flexibility is essential, as responsibilities may vary significantly from primary duties.

 

Shift: Monday - Friday 7a-3:30p 

Job Requirements

Qualifications

  • 2–4 years of administrative, office support, or program support experience.
  • Experience preparing procurement documents, travel orders, vouchers, reports, and official correspondence.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to create charts, graphs, presentations, and professional reports.
  • Strong understanding of administrative practices, office procedures, records management, and correspondence control.
  • Ability to perform routine calculations (cost estimates, staff hours, workload data) with accuracy.
  • Excellent written and verbal communication skills with the ability to draft clear, professional correspondence.
  • Strong organizational and time-management skills, with the ability to manage multiple tasks and deadlines.
  • Ability to work independently, exercise sound judgment, and maintain attention to detail.
  • Demonstrated ability to interact professionally with internal staff, leadership, and partner offices.
  • Must be able to obtain and maintain any required background clearance appropriate for work in a secure federal law enforcement environment.
  • Must comply with all security, confidentiality, and access control requirements.
  • Flexibility to support emergency operations or duties outside typical responsibilities as needed.
