Job Description

Our client is seeking an Administrative Assistant .
This is an on-site, full-time position (five days per week) with a Monday–Friday schedule from 7:00 a.m. to 3:30 p.m. They are looking to start someone immediately. 

The Administrative Assistant will provide comprehensive administrative and operational support, with a focus on scheduling sensitive evaluations, managing official correspondence, and supporting credentialing activities.

Responsibilities include:

Scheduling & Coordination

  • Scheduling polygraph, medical, and psychological examinations for sworn candidates.

  • Coordinating appointments, maintaining calendars, and arranging staff meetings.

  • Assisting with the creation of credentials in the Badging Office.

Administrative Practices & Procedures

  • Preparing procurement requests, training documentation, travel orders, vouchers, and other administrative forms.

  • Requisitioning office supplies and equipment; reconciling purchase orders.

  • Reviewing reports and correspondence for format, accuracy, and compliance with policies.

  • Compiling program data such as goals, staffing levels, budgets, and performance metrics.

  • Preparing correspondence, charts, graphs, presentations, and statistical reports using standard office software.

  • Maintaining data, forms, records, mail logs, and other information management systems.

Support Services

  • Responding to inquiries regarding office functions and services.

  • Coordinating administrative support needs and following up to ensure timely responses.

  • Preparing routine calculations and summaries for management and program analysis.

  • Notifying staff of meetings and preparing minutes.

  • Providing general support to office leadership.

Mail, Correspondence & Report Processing

  • Reviewing incoming correspondence, directives, and publications to determine required action.

  • Establishing and maintaining tracking logs for incoming documents and follow-up actions.

  • Preparing administrative reports and composing correspondence based on established guidelines and leadership direction.

  • Ensuring all outgoing materials conform to policies, regulations, grammar standards, and formatting requirements.

  • Coordinating with internal stakeholders to gather information and complete required documentation.

Additional Duties

  • Supporting emergency operations when needed due to the nature of the organization.

  • Performing other duties as assigned.

Pay: $24.65 per hour plus $5.09 H&W = $29.74 per hour

Job Requirements

 

 

  • Demonstrated maturity, professionalism, and sound judgment.

  • Strong understanding of the sensitivity, seriousness, and confidentiality required for work involving background investigations and credentialing.

  • Proven experience in administrative support, preferably in a structured, compliance-driven, or security-focused environment.

  • Excellent written and verbal communication skills.

  • High attention to detail, accuracy, and organizational ability.

  • Proficiency with standard office software (e.g., Word, Excel, PowerPoint).

  • Ability to manage multiple tasks, prioritize effectively, and maintain composure under time-sensitive conditions.

  • Reliability, punctuality, and a strong commitment to consistent on-site attendance.

  • Professional attire is required.
