Job Description

Finance Coordinator will be responsible for assisting on a wide variety of accounting tasks such as processing monthly invoices, coordinating with the finance team when billing the client and payment to the consultants. This position includes both excellent customer service and support, while consistently producing an excellent work product. The Finance Coordinator maintains general knowledge of the firm's practice groups and a specialized knowledge of the assigned attorneys’ practice areas and clients to ensure extraordinary client satisfaction. 

Duties: 

  • Assist with the Third-Party Consultant billing process from processing the Task Order to invoice, review, time entry, proper and timely client billing, client collections, and Third-Party Consultant payments.
  • Coordinate Initial set-up of newly onboarded Consultancies, create Vendor ID numbers, timekeeper(s) numbers and rates
  • Quality Control, Screen and Review consultant invoices for accuracy. Request invoice corrections from consultancies as necessary.
  • Assist with consultant time uploads in IntApp as needed.
  • Request new or request reactivations of timekeeper numbers.
  • Process via IntApp Forms the consultants’ exception rates for all task orders.
  • Run all applicable Consultants Time and Statement of Activity Reports for the appropriate billed months.
  • Perform rate profitability on all independent consultant invoices ahead of processing.
  • Convert to PDF all consultant invoice(s) for Chrome River processing with the appropriate Attorney approvals.
  • Process all Consultant invoices in Chrome River for consultant payments.
  • Respond to consultant payment inquiries.
  • The ability to be proactive and think ahead are key.
  • Full Cycle Accounting Experience with Accounts Receivable and Accounts Payable
  • Prepare and maintain spreadsheets and databases for all project initiatives.
  • Effectively manage projects by meeting deadlines and conducting follow-up as needed.
  • Sets up and maintains consultant timekeeper's working files.
  • Answers telephones and accurately takes and relays messages. Arranges for video conferencing and sets up conference calls.
  • Assumes responsibility for maintaining the highest level of confidentiality of all Firm and client information, records, and files, both within and outside of the Firm

Job Requirements

Qualifications:

  • Professional services (Legal, Consulting) experience.
  • Attention to detail and good organizational and analytical skills.
  • Business College degree required.
  • Extremely strong communication skills both written and spoken.
  • Financial acumen.
  • Ability to multi-task.
  • Working knowledge of Outlook, Microsoft Word, Excel, iManage and PowerPoint.
  • Billing experience including electronic billing is a plus:
    • Knowledge of Elite 3E
    • Knowledge of IntApp Time Entry System
