Job Description

Well known Real Estate developer in Montgomery County, MD  is seeking an Executive Assistant for administrative support. The Executive Assistant will support the Executive Vice President, Real Estate and the Executive Vice President, Chief Financial Officer & Secretary on administrative tasks.

Position description:

  • Maintain Executive's calendar, contact list, coordinate all travel arrangements, and complete expense reports as required
  • Prepare correspondence, reports, and materials for publications, presentations and meeting materials
  • Setup and coordinate meetings and conferences as well as setup accommodations
  • Create, transcribe, and distribute meeting agendas and minutes as requested
  • Maintain hard copy and electronic filing system
  • Answer phones. Takes messages or fields/answers all routine and non-routine questions
  • Open, sort and distribute mail. Draft written responses 
  • Respond to regularly occurring requests for information

Job Requirements

Qualifications:

  • Associates Degree (Preferred)
  • 5+ years of executive level support
  • Notary (Preferred)
  • Punctual, dependable and reliable
  • Possession of strong organizational skills
  • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy
  • Ability to deal effectively and tactfully with a wide variety of individuals in person, via telephone and in writing
  • Ability to work in a positive and cooperative manner with fellow team members
  • Must possess strong attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines
  • Capability to work in fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments
  • Knowledge of MS Office (Word, Excel, PowerPoint, Outlook)
