Job Description

The Administrative and Technology Support Officer will be responsible for providing administrative, communication, and technical support within the Educational Attaché Office. This role includes managing phone calls, greeting guests, providing first-level technology support, maintaining student records, and ensuring smooth day-to-day operations of the department. The officer will play an essential role in coordinating tasks, managing data, and supporting the educational functions of the company.

Schedule: Monday - Friday 9:00am - 4:00pm

 

Key Responsibilities:

  • Answer incoming calls to the Educational Attaché Office in a professional and courteous manner, ensuring all calls are logged and attended to promptly.
  • Greet and manage visitors, providing them with necessary information or directing them to appropriate departments.
  • Provide basic IT assistance to the diplomatic staff, including troubleshooting minor technical issues with computer systems, software, and communication tools.
  • Assist in the day-to-day operations of the Educational Attaché Office, ensuring smooth work flow and proper coordination of departmental functions.
  • Offer general administrative support, including filing, data entry, managing correspondence, and preparing reports.
  • Ensure that all administrative tasks adhere to the policies and quality standards.
  • Input and maintain student data in the Student Management System, ensuring accuracy and confidentiality.
  • Contact students as needed to update their information and provide any necessary support.
  • Assist the Student Management team with tasks related to student records, documents, and inquiries.
  • Perform data entry, maintenance, and updates of relevant databases (e.g., student records, inquiries, and departmental data).
  • Generate reports as required and ensure accurate recording of transactional data.
  • Help in archiving and retrieving data when necessary, supporting the team in accessing relevant information.
  • Regularly interact with students and other departments to ensure that requests are handled efficiently and professionally.
  • Support the team in coordinating activities, projects, and events related to educational services.
  • Suggest improvements for existing processes or systems based on feedback or observations.
  • Perform basic statistical analysis on data related to student information or other departmental activities, and report findings when necessary.
  • Ensure that all administrative tasks and processes comply with the company's quality standards, policies, and procedures.
  • Help maintain the integrity of student records and departmental data, ensuring privacy and confidentiality.

 

 

Job Requirements

Qualifications:

  • A bachelor’s degree or equivalent in Administration, Information Technology, or a related field is preferred.
  • Previous experience in an administrative or customer service role is advantageous, ideally in a diplomatic or international organization.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), and familiarity with student management systems (training will be provided).
  • Strong verbal and written communication skills in English and Arabic.
  • Ability to manage and input data accurately, maintain detailed records, and ensure quality control.
  • Ability to prioritize tasks, manage time effectively, and handle multiple responsibilities simultaneously.
  • Professional demeanor with the ability to interact with diplomatic staff, students, and visitors in a respectful and courteous manner.
  • Ability to analyze issues, offer solutions, and make suggestions for process improvements.
  • Comfortable with formal (suit and tie) attire for work.
