Job Description

We are seeking enthusiastic and organized Conference Staff to support the planning, coordination, and execution of conferences and events. The ideal candidate will have strong organizational skills, excellent communication abilities, and experience in event management or a related field. This role is crucial in ensuring the smooth operation of conferences and providing exceptional service to attendees and participants.

 

 

Responsibilities:

  • Assist with the planning and coordination of conference logistics, including venue setup, scheduling, and audiovisual requirements.
  • Support the registration process for attendees, including managing check-in, issuing badges, and providing information.
  • Coordinate with vendors and suppliers to ensure timely delivery of services and materials.
  • Provide on-site support during conferences, including overseeing event setup, managing session rooms, and handling attendee inquiries.
  • Ensure that all conference materials, including handouts, programs, and signage, are prepared and distributed.
  • Troubleshoot and resolve any issues that arise during the event to ensure a seamless experience for attendees.
  • Assist with the preparation and distribution of conference materials and documentation.
  • Maintain accurate records of conference registrations, payments, and correspondence.
  • Support the conference team with data entry, reporting, and post-event follow-up tasks.
  • Provide exceptional customer service to attendees, speakers, and vendors.
  • Address and resolve attendee concerns or issues in a professional and efficient manner.
  • Foster a positive and welcoming atmosphere throughout the event.

Job Requirements

 

Qualifications

 

  • Previous experience in event management, conference coordination, or a related field is preferred.
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Hospitality, Event Management, or a related field is a plus.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with event management software and registration systems is a plus.
  • Ability to work under pressure and adapt to changing situations.
  • Professional demeanor with a customer-focused attitude.
  • Attention to detail and strong problem-solving skills.
  • Ability to work both independently and as part of a team.
  • Flexibility to work outside of regular business hours, including evenings and weekends, as needed.
