Job Description

This role is responsible for managing client account setups, billing, collections, and overall portfolio management. The ideal candidate is proactive, detail-oriented, and skilled in building collaborative relationships with attorneys and clients throughout the billing and collections cycle.

 

Responsibilities

  • Build and maintain professional, collaborative relationships with attorneys, staff, and clients to ensure accurate and timely billing and collections.
  • Manage complex billing arrangements, including client-level billing and collections oversight.
  • Train and mentor billing specialists, fostering a culture of accuracy, accountability, and efficiency.
  • Verify billing rates, review and implement client billing guidelines, and monitor fee caps, discounts, and matter budgets.
  • Oversee the complete billing process from prebill review through final submission; ensuring compliance with client specifications.
  • Partner with eBilling Coordinators and Systems Administrators to set up new client accounts, resolve technical issues, and ensure successful eBill submissions.
  • Communicate directly with clients and attorneys regarding billing and collections; prepare and deliver reports as requested.
  • Respond to inquiries regarding accruals, audits, and payment reports; analyze data trends to identify and recommend process improvements.
  • Prepare accurate monthly billing and collection forecasts; maintain portfolio status reports and monitor daily billing activity.
  • Assist with cash applications and ensure accurate handling of unapplied funds and trust accounts.
  • Participate in cross-training and knowledge-sharing efforts to support seamless client service coverage.

Job Requirements

Qualifications

  • Bachelor’s degree in Accounting, Finance, Business, or equivalent experience.
  • Law firm billing experience required.
  • Proficiency with financial management and billing software systems.
  • Advanced Excel and data reporting skills.
  • Strong business acumen with the ability to manage multiple priorities effectively.
  • Exceptional attention to detail, organization, and accuracy.
  • Excellent communication and client service skills.
  • Strong analytical and problem-solving abilities.
  • Ability to work independently while maintaining confidentiality.
  • Reliable, motivated, and flexible to meet deadlines and work additional hours when needed.
