Job Description

The Coordinator - CLE Compliance will serve as the firm’s subject matter expert on continuing legal education (CLE), overseeing all aspects of CLE accreditation, program qualification, and tracking attorney compliance. This role ensures that the firm meets CLE requirements and helps attorneys stay compliant with both internal and external regulations.

 

Responsibilities:

  • Collaborate with the Senior Manager of Compliance – CLE to develop and implement program procedures and processes.
  • Maintain a comprehensive understanding of mandatory requirements and serve as a resource to attorneys, clients, and staff.
  • Administer programs, including tracking credits in viCLE, issuing CLE certificates, and managing the firm’s on-demand library.
  • Maintain official records, including Bar Renewal and Accredited Provider files.
  • Interpret and summarize requirements, including updates or changes to rules, for jurisdictions where the firm is an accredited provider (e.g., California and New York).
  • Respond to CLE-related inquiries from attorneys and staff, providing guidance on rules and processes.
  • Coordinate with firm departments regarding CLE-accredited programs.
  • Prepare year-end reports, renewal applications for accredited provider status, and other compliance reports to maintain the firm’s accredited provider status in key jurisdictions.
  • Apply for individual program accreditations and credits in jurisdictions where the firm is not an accredited provider, ensuring full credit for in-house and client programs.
  • Maintain and audit records, including course materials, attendance records, and other necessary documentation.
  • Assist attorneys in meeting CLE compliance by researching rules, analyzing records, and advising on compliance with bar registration and waiver requests.
  • Keep online CLE records updated in viCLE, reflecting both firm-sponsored and external participation.
  • Monitor attorney compliance and follow up on outstanding requirements, preparing related reports.
  • Update CLE-related content on the firm’s intranet.
  • Perform other duties as assigned.
  • Uphold the highest standards of confidentiality, discretion, and integrity, especially regarding sensitive firm and client information.

Job Requirements

Qualifications:

  • Experience in CLE within a fast-paced, professional environment is required.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Strong organizational skills with a keen attention to detail.
  • Highly responsive and service-oriented.
  • Proficiency in Word, Excel, PowerPoint, and Outlook is required.
  • Strong computer skills, including experience with database searches and data entry, preferably in a learning management system (knowledge of viDesktop is a plus).
  • Proactive and able to offer recommendations for process improvements.
  • Ability to multitask efficiently and effectively.
  • Professional demeanor in interactions with attorneys and staff at all levels.
  • Ability to work collaboratively in a team environment while also being self-motivated and able to work independently.
  • Familiarity with CLE rules and CLE tracking systems (e.g., viCLE) or similar learning management systems is preferred.
  • Bachelor’s degree or equivalent experience preferred.
