Job Description

This role plays a critical part in litigation case management, document coordination, and day-to-day administrative support while collaborating with internal teams and external stakeholders. 

 

Responsibilities

 

  • Maintain a regular in-office presence to support collaboration and workflow efficiency
  • Coordinate litigation support, administrative projects, and attorney/client tasks
  • Manage time entry, expense reporting, billing coordination, meeting scheduling, and matter openings
  • Draft, format, and edit legal documents and correspondence in English and Spanish
  • File legal documents with courts and agencies accurately and on deadline
  • Collaborate with internal departments (Document Services, Finance, Practice Support, etc.) across multiple offices
  • Support and monitor client billing, including billing codes, proofreading, rate adjustments, write-offs, and compliance with billing protocols
  • Maintain organized and accurate records within the document management system
  • Manage attorneys’ calendars, travel arrangements, and daily workflow needs
  • Work overtime as required and assist with additional firm projects as needed

 

 

Job Requirements

Qualifications

 

  • Bachelor’s degree preferred
  • Fluency in English and Spanish (written and verbal) required
  • Minimum 6 years of legal secretarial or comparable legal experience
  • International Arbitration experience preferred
  • Strong organizational and multitasking skills with a team-oriented mindset
  • Advanced proficiency in English grammar, spelling, and legal formatting
  • Proficiency in:
    • MS Word, including document comparison tools
    • MS Outlook, including calendar and email management
    • MS Excel and PowerPoint
  • Document management systems and web-based conferencing tools
  • Solid understanding of legal billing, timekeeping, and financial processes
  • Familiarity with court filing procedures and litigation workflows
  • Excellent interpersonal and professional communication skills
  • Ability to manage competing deadlines while maintaining confidentiality
