Job Description

The Legal Secretary will deliver comprehensive administrative and client service support to attorneys, ensuring efficient legal practice operations and exceptional client service. This role plays a key part in litigation case management, as well as administrative coordination across internal teams and external stakeholders.

 

Responsibilities

 

  • Maintain regular in-office presence to promote collaboration and operational efficiency.
  • Coordinate litigation support activities, legal tasks, and administrative projects for attorneys and clients.
  • Manage time entry, expense reporting, client billing, meeting scheduling, and matter openings.
  • Draft, format, and edit legal documents and correspondence in both English and Spanish.
  • File legal documents with courts and government agencies accurately and within deadlines.
  • Collaborate with internal departments (Document Services, Finance, Practice Support, etc.) across multiple offices.
  • Support and monitor client billing, including billing code application, proofreading, rate adjustments, write-offs, and compliance with billing protocols.
  • Maintain organized records in the document management system and ensure best practices in file organization and task tracking.
  • Oversee attorneys’ calendars, travel coordination, and daily workflow management.
  • Work overtime as needed and assist with firm-wide initiatives or projects.

Job Requirements

Qualifications

 

  • Minimum of 6 years of legal secretarial or relevant experience required.
  • Fluency in English and Spanish (written and verbal) required.
  • Bachelor’s degree preferred.
  • Litigation experience is essential.
  • Exceptional organizational and multitasking abilities with a strong commitment to teamwork.
  • Advanced command of English grammar, spelling, and legal formatting standards.
  • Proficiency in Microsoft Office Suite.
  • Document management systems and web-based conferencing platforms
  • Solid understanding of legal billing, timekeeping, and financial processes.
  • Familiarity with court filing procedures and litigation workflows.
  • Strong interpersonal skills with a professional and client-focused communication style.
  • Proven ability to handle multiple priorities, meet deadlines, and maintain confidentiality.
