The Bilingual Office Manager oversees the daily administrative and operational functions of a busy Criminal and Family Law practice. This role combines office management, legal administrative support, and paralegal coordination responsibilities to ensure efficient workflow, organization, and exceptional client service.
The ideal candidate is highly organized, detail-oriented, professional, and fluent in both English and Spanish. This position requires discretion, sound judgment, and the ability to manage multiple priorities in a fast-paced legal environment.
Oversee daily office operations and ensure smooth workflow across administrative and legal functions
Supervise front desk operations, including answering and screening incoming calls and greeting clients
Manage office calendar systems, including attorney schedules, court dates, deadlines, and appointments
Monitor case deadlines and ensure compliance with court rules and procedures
Open, sort, and distribute mail and legal correspondence
Maintain confidentiality and safeguard sensitive client information
Maintain and organize physical and electronic case management systems
Assist with filing documents in state and local courts
Support attorneys with document preparation, discovery organization, and case materials
Draft, format, and proofread correspondence and legal documents
Prepare, scan, photocopy, and assemble materials for hearings, trials, and meetings
Assist with trial preparation and hearing support
Fluency in English and Spanish (required)
Strong organizational and time management skills
Ability to manage multiple deadlines in a fast-paced environment
Excellent written and verbal communication skills
High level of professionalism, discretion, and attention to detail
Experience in a law firm or legal environment preferred (Criminal or Family Law a plus, but not required)
Proficiency with Microsoft Office and case management systems
