Job Description

The Assistant Property Manager plays a critical role in supporting the Property Manager in overseeing the day-to-day operations of a property portfolio. This includes customer service, tenant relations, administrative tasks, and assisting with financial and operational management of the property. Temp to hire role. 

 

Responsibilities:

  • Assist with daily operations, including problem resolution, vendor management, and ensuring property compliance with contracts and regulations.
  • Supervise vendor performance, recommend or approve contracts, and ensure compliance with terms.
  • Help prepare operating and capital budgets, assist with reconciliations, and monitor budget implementation.
  • Conduct property inspections to identify and prevent potential issues.
  • Ensure adherence to owner policies, safety standards, and legal requirements.
  • Maintain communication with tenants, handle requests, and facilitate move-ins/move-outs.
  • Handle accounts payable, follow up on tenant payments, and assist with lock-out procedures.
  • Assist in preparing reports for owners, tracking financials, and coordinating insurance or utility procurement.
  • Ensuring tenants have positive experiences and receive timely responses to their concerns.
  • Supporting accounting processes including invoicing, payments, and budget monitoring.
  • Coordinating tasks such as building activity scheduling, inspections, and vendor management.
  • Ensuring property safety, security, and adherence to all regulations.
  • Assist the Property Manager with a variety of tasks related to property management.
  • Foster good relationships with tenants and vendors to maintain operational efficiency.
  • Handle administrative duties such as scheduling, reporting, and assisting with budgets.
  • Perform inspections and support compliance with regulations and safety protocols.

 

Job Requirements

Qualifications:

  • Bachelor's Degree or 3-5 years’ experience in the commercial property industry
  • Excellent customer service skills
  • Basic accounting and financial skills
  • Strong organizational skills with attention to detail
  • Proficiency in Microsoft Excel and Word
  • Effective verbal and written communication skills
  • Ability to travel (less than 10 days per year)
