Job Description

The Assistant Property Manager (APM) will support the Property Manager and Senior Property Manager with the daily operations and management of commercial and industrial properties. This role involves assisting with financial tasks such as monthly financials and budgets, implementing the annual operating plan, managing vendor performance, and overseeing project work. The APM will also handle invoice processing, contracts, purchase orders, and provide direct communication with tenants, vendors, and senior management. The ideal candidate will be highly organized, detail-oriented, and proactive in delivering exceptional property management services.

 

Responsibilities

  • Oversee the daily operations and quality control of assigned properties.
  • Conduct routine site inspections to ensure properties maintain high standards of physical appearance and function.
  • Identify deficiencies, suggest solutions, and implement corrective measures.
  • Supervise and communicate with vendors to ensure services are delivered per contract standards.
  • Periodically bid contracted services to ensure best practices, pricing, and industry standards are maintained.
  • Draft, review, and execute purchase orders, work orders, and contracts.
  • Assist in the preparation and implementation of monthly financials, operating budgets, and annual operating plans for properties.
  • Process invoices and create purchase orders using Nexus Payables.
  • Assist with long-term financial planning and setting property goals and objectives.
  • Build and maintain strong relationships with tenants, ensuring their concerns are addressed promptly.
  • Resolve tenant issues as needed and escalate unresolved matters to senior management.
  • Maintain and update a database of contract expirations and initiate renewals or bidding processes.
  • Track certificates of insurance (COIs) for tenants and contractors through a third-party vendor.
  • Assist in managing tenant improvement projects, including construction and build-outs.
  • Coordinate tenant move-ins and move-outs as necessary.
  • Support special projects, Requests for Proposals (RFPs), and events.
  • Attend department meetings and report on the status of property projects or issues.
  • Represent the company in industry, community, and governmental organizations and meetings.
  • Carry a personal mobile phone and utilize office phone apps for communication and after-hours emergency support.
  • Respond to after-hours emergency calls and dispatch resources as needed, including weekends and holidays.

Job Requirements

Requirements

  • Bachelor’s degree in construction management, engineering, business, or a related field. Equivalent work experience will be considered.
  • 1-3 years of experience in commercial property management.
  • Detail-oriented with strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Excel required), and Adobe Acrobat.
  • Must be willing to seek and obtain a government security clearance, including a full-scope polygraph.
  • U.S. Citizenship is strongly preferred.
  • Must carry a personal mobile phone and be available for after-hour emergency calls.
  • Must have reliable transportation as the office is not Metro accessible.
  • Monday to Friday, standard business hours with after-hours and weekend on-call availability for emergencies.
