Key Responsibilities
• Oversee the day-to-day quality control of assigned properties and conduct regular site inspections. Ensure the physical and aesthetic upkeep of the properties and associations, noting any deficiencies and implementing corrective actions.
• Monitor the performance of all contracted services, including liaising with contractors, reviewing procedures, and confirming that work meets established standards.
• Periodically solicit bids for contracted services to ensure industry standards, competitive pricing, and best practices are maintained.
• Draft and manage purchase orders, work orders, and contracts as necessary.
• Process invoices and generate purchase orders using Nexus Payable.
• Build and maintain positive relationships with tenants and clients. Address issues as needed and escalate to senior management if further attention is required.
• Track contract expiration dates and initiate renewals or the bidding process as appropriate.
• Maintain a database of certificates of insurance (COIs) to ensure tenant and contractor COIs are monitored by a third-party vendor.
• Support tenant project work and assist in construction-related tasks.
• Contribute to the planning, preparation, and execution of monthly financial and operating budgets for properties and associations.
• Assist in identifying and strategizing for long-term financial objectives.
• Help coordinate tenant buildouts, move-ins, and move-outs.
• Provide support on special projects, RFPs, and special events as needed.
• Attend department meetings and provide updates on the status of ongoing issues or projects at assigned properties.
• Participate in relevant industry, community, and governmental boards, organizations, and meetings.
• Take on additional responsibilities as required.
• Carry a personal mobile phone with access to TPC email and the office phone app.
• Be available to respond to after-hours emergency calls, including weekdays, weekends, and holidays, to provide support for facilities as needed.
