Administrative Coordinator (Entry-Level)

Position Overview

We are seeking a motivated, detail-oriented Administrative Coordinator to join our team in McLean, Virginia. This is an excellent opportunity for recent college graduates looking to launch their careers in a professional office environment. The Administrative Coordinator will provide essential administrative support, assist with office operations, coordinate schedules, and help ensure the efficient day-to-day functioning of the organization.

Key Responsibilities

  • Manage calendars, schedule meetings, and coordinate appointments.
  • Prepare, organize, and maintain electronic and physical files.
  • Draft, proofread, and distribute correspondence, reports, and presentations.
  • Assist with meeting logistics, including scheduling conference rooms and preparing materials.
  • Answer and direct phone calls, emails, and visitor inquiries professionally.
  • Support office administration activities, including data entry and records management.
  • Coordinate travel arrangements and expense reporting as needed.
  • Assist with special projects and cross-functional initiatives.
  • Maintain office supplies inventory and coordinate vendor orders.
  • Ensure accuracy and confidentiality of sensitive information.

Qualifications

Required

  • Bachelor's degree from an accredited college or university.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Excellent organizational and time-management skills.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Strong attention to detail and accuracy.
  • Professional demeanor and customer-service mindset.

Preferred

  • Internship, campus leadership, or administrative experience.
  • Experience with Microsoft Teams, SharePoint, or other collaboration tools.
  • Familiarity with scheduling and project coordination.
