Hours for this Position are 8AM-4:30PM

 

What you will do:

 

  • Administrative Practices and Procedures 

Assists in the preparation of requests for procurement, training, travel orders, vouchers, and other forms as needed. Requisitions office supplies, equipment and publications. Reconciles purchase orders. 

Reviews reports, correspondence, and management and program analysis documents for appropriate format, distribution, and inclusion of required information and explain reporting procedures and requirements to operating officials. Initiates development of new or revised administrative policies and procedures necessary for efficient administrative functioning of the organization, independently or as a member of a team. 

Compiles and distributes reports on proposed program goals, budgets, staff levels, and performance criteria to operating officials for review and comment. Using appropriate computer software, prepares routine office correspondence, charts, graphs, statistical information, Power Point presentations, reports and related work as needed. Independently controls and maintains data in information management systems, such as forms, records, mail, directives, or publications management systems.

  • Support Services  

Responds to and coordinates requests for information concerning Office functions and services. Plans and coordinates a wide variety of support services. Responds to inquiries and requests for assistance on administrative problems. Notifies appropriate personnel of the need for information or recommendations, and either prepares the response or follows up to ensure a timely response by others.

Makes and verifies routine calculations such as standard cost estimates, production rates, staff hours, and workload figures. Prepares charts, graphs, and narrative information for management or program analysis reports from material provided by higher-level employees.

Arranges for staff meetings, reserves meeting rooms, notifies personnel involved, and prepares minutes of the proceedings.  Keeps the Office Director's calendar, schedules, reschedules appointments and meetings, as appropriate.

  • Mail, Correspondence, and Report Processing 

Reads incoming correspondence, publications, regulations, and directives that may affect the organization. Determines the ones that can be acted upon personally and takes necessary action. Obtains clarification of instructions from originating offices or appropriate focal points on own initiative. Brings significant items in reports, files, and correspondence to the supervisor's attention. 

Systematically evaluates and improves correspondence operations for an extensive organization with varying functions performed in subordinate offices. On own initiative and discretion, determines which organizational segments should handle technical mail and correspondence.  Uses formal procedures to ensure that information about work performed outside of the organization is included in the technical responses. Establishes control records on incoming correspondence and action documents, following up on work in-progress to ensure timely action. 

Receives requests from other organizations within the agency for information concerning programs under the supervisor's control. Assembles requested information from available background data or follows up to see that subordinates submit the required answers within the specified time. Personally, prepares administrative reports and composes correspondence on own initiative, based on knowledge of the supervisor's views and desires. 

Reviews documents requiring coordination by the supervisor for conformance with regulations, grammar, format, and special policies of the organization. Verifies that content has been coordinated, is accurate, and is in compliance with established policies. Returns materials to the originator for correction if they do not comply with known policies or if correspondence rules have not been followed.

Performs other official duties as assigned. Due to the nature of the agency and emergency operations, civilians may be called upon to perform emergency operations duties outside the realm of their expertise. Other duties as assigned may vary significantly from the primary duties of the position and the incumbent.
