Job Description

Our client is seeking an Administrative Assistant for an on-site, full-time position with a Monday–Friday schedule from 8:30 a.m. to 5:00 p.m. (This is a posting for future opportunities)

The Administrative Assistant will provide comprehensive administrative and operational support, with a focus on scheduling sensitive evaluations, managing official correspondence, and supporting credentialing activities.

 

Responsibilities:

  • Schedule and coordinate meetings, appointments, and office activities for staff and leadership.
  • Maintain calendars, organize events, and support day-to-day office operations.
  • Assist with onboarding, credentials, and other administrative processes.
  • Prepare and process procurement requests, travel documentation, vouchers, and other administrative forms.
  • Requisition office supplies and manage purchase orders and reconciliations.
  • Review reports, correspondence, and documents for accuracy, formatting, and compliance with policies.
  • Compile data, prepare reports, presentations, charts, and summaries using standard office software.
  • Maintain records, files, logs, and other information management systems.
  • Respond to internal and external inquiries regarding office services and administrative procedures.
  • Prepare meeting materials, take minutes, and provide general support to leadership and staff.
  • Process incoming and outgoing correspondence, ensuring compliance with office policies and professional standards.
  • Support special projects, emergency operations, and other duties as assigned.

 

 

Job Requirements

Qualifications:

  • Demonstrated maturity, professionalism, and sound judgment in handling daily responsibilities.
  • Strong understanding of confidentiality and discretion in managing sensitive information.
  • Proven experience providing administrative support in structured, compliance-driven, or professional office environments.
  • Excellent written and verbal communication skills.
  • High attention to detail, accuracy, and organizational skills.
  • Proficiency in Microsoft Word and Excel, as well as other standard office software such as PowerPoint.
  • Ability to manage multiple tasks, prioritize effectively, and maintain composure under time-sensitive conditions.
  • Dependable, punctual, and committed to consistent attendance.
  • Professional appearance and demeanor.
