The incumbent serves as the Administrative Assistant within the Office of Equity and Inclusion. As the Administrative Assistant, the incumbent is responsible for providing administrative assistance to the Chief Diversity Officer (CDO).

Additionally, the Administrative Assistant provides clerical, administrative, and financial management assistance to the OEI as directed by the CDO. As the face of the OEI the role requires the incumbent maintain a professional outward-facing presentation at all times via all conduits: electronic, telephonic, and in-person when interacting with the USCP staff, USCP members and high-ranking officials of organizations within and outside the USCP. The role requires effective communication skills: writing, oral, interpretation and translation of meeting content. Additionally, the role requires organizational skills, and self-motivation.

 

  • Receive all visitors to the Office of Equity and Inclusion, schedules appointments as directed by CDO, receive incoming calls and answer non-technical questions or direct inquiries to the appropriate staff member and arrange adequate phone coverage during periods of intense activity or in his/her absence.
  • Responsible for maintaining data entry of the staff time and attendance on the management system.
  • Responsible for reserving, scheduling and coordinating space/rooms for OEI meetings, securing proper signatures and submission to identified point of contact.
  • Responsible for updating and maintaining proper inventory of office supplies.
  • Responsible, with minimal assistance, updating and maintaining office policies and procedures of the Standard Operation Procedures (SOPs) and official request forms of the OEI and the company guidelines. Ensure the SOPs are current, and staff is aware of any changes. The SOPs and official request forms are located on the “T” drive (share drive).
  • As requested, incumbent may conduct research on a wide variety of subjects in order to provide the CDO and staff with information and material which might be utilized in the preparation of correspondence, reports, policy, meetings, briefings, etc.,
  • Maintain office electronic files used on a regular basis--administrative working files, archival material, etc.). Maintain the OEI “T” drive (share drieve) and archive or delete unnecessary files or folders.
