Job Description

The Contractor will provide general acquisition support primary in contract closeout administration.

 

Key Responsibilities:

  • Perform closeout activities for various contract types, ensuring compliance with contractual terms and conditions.
  • Interpret and analyze contract documentation and invoice data to finalize closeout procedures.
  • Audit files to confirm accuracy and completeness of closeout documentation.
  • Prepare and submit closeout packages, ensuring all required documentation is included.
  • Obtain necessary approvals and concurrences from the Contracting Officer's Representative (COR) and vendors.
  • Prepare and manage correspondence, including letters, memorandums, and forms related to contract closeout.
  • Coordinate with the closeout team lead and program office to enhance team efficiency and achieve contract closeout goals.
  • Interact daily with internal and external customers, peers, other functional departments, and management.
  • Foster teamwork and collaboration in a positive and proactive manner.
  • Track closeout statistics and maintain awareness of department goals.
  • Prepare ad hoc reports as needed and participate in meetings to provide insights and analysis on contract closeouts.
  • Recommend the de-obligation of excess funds in accordance with agency guidelines and procedures.
  • Prepare contract completion statements and manage the disposal of contract files.
  • Strong organizational and analytical skills.
  • Effective communication and interpersonal skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Attention to detail in reviewing and processing contract documentation.
  • Achieve timely and accurate contract closeouts.
  • Ensure all deliverables and reports are completed and accepted.
  • Support the overall efficiency and effectiveness of the closeout process.

Job Requirements

Qualifications

  • Bachelor’s Degree in n Business Administration, Contract Management, Finance, Law, or a related field. Advanced degrees or certifications may be preferred.
  • Typically 2-5 years of experience in contract management, procurement, or a related field. Experience specifically with contract closeout processes is highly desirable.
  • Experience working with various types of contracts (e.g., fixed-price, cost-reimbursement, time-and-materials).
  • Proficiency in using contract management software and tools.
  • Ability to review and analyze invoices, financial data, and contract terms to ensure compliance and accuracy.
  • Skills in managing, organizing, and preparing contract documentation and closeout packages.
  • Understanding of relevant laws, regulations, and policies governing contracts, including federal acquisition regulations if applicable.
  • Familiarity with contract closeout processes, including documentation, auditing, and financial reconciliation.
