Job Description

Well established Non-Profit  based in Northern Virginia is seeking an new Executive Assistant. As the Executive Assistant to the Chief Strategy and Innovation Officer, you will play a crucial role in supporting the executive in managing and optimizing strategic initiatives and innovation projects within the organization. You will be responsible for providing high-level administrative support, managing communication and coordination, and contributing to the overall efficiency and effectiveness of the Chief Strategy and Innovation Office.

 

  • Schedule a large volume of diverse (using Zoom or teams) appointments, meetings, and travel arrangements. 
  • Prepare agendas, memos, and other documents with word processing skills. 
  • Attend meetings as needed to record, interpret, draft, type, and distribute summary of the meeting. 
  • Prepare reports in advance of Board of Directors meetings. 
  • Prepare weekly reports of staff schedules to include PTO and other time off.   
  • Make recommendations to solve highly complex problems requiring research and information from multiple sources or advanced knowledge in a thorough and timely manner. Analysis and interpretation of widely varying situations. Achieve resolution through unique approaches and/or reference to a variety of policies, precedents, and past practices. 
  • Support high-profile events with time lines that range from weeks to months in advance.
  • Create and revise systems and procedures by analyzing operating practices, record keeping systems, forms control, office layout, and budgetary requirements and implementing changes.  
  • Establish supply budgets; select vendors, use signature and purchasing authorization. May authorize expenditures within certain limits. Responsible for staying within budget and following budgetary guidelines. 
  • Develop, monitor, and reconcile budgets.

Job Requirements

  • Bachelor's degree in business administration, management, or a related field.
  • 5 + years’ experience as an Executive Assistant
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency with Word, Excel, PowerPoint, Outlook and other relevant tools.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Understanding of strategic planning and innovation processes is a plus
