Job Description

We are seeking a seasoned Property Manager to oversee the daily operations, administrative functions, and financial performance of a diverse residential portfolio, including condominiums, homeowner associations (HOAs), and cooperatives. This is an onsite, full-time opportunity ideal for a results-driven professional who excels in a fast-paced environment and brings strong leadership, operational expertise, and exceptional customer service to the role.

 

Responsibilities

  • Manage all aspects of property and association operations to ensure compliance, efficiency, and quality service delivery.
  • Maintain detailed and accurate records of property activities, including board decisions and operational matters.
  • Prepare and present comprehensive Monthly Management Reports, including property inspections, violation logs, insurance updates, contract statuses, and more.
  • Develop annual budgets for board approval; monitor and manage expenditures to ensure adherence throughout the fiscal year.
  • Serve as the primary liaison between the management company and Boards of Directors.
  • Ensure strict compliance with community governing documents, rules, and applicable regulations.
  • Coordinate and manage competitive bidding processes; oversee contract negotiation and administration.
  • Conduct regular (weekly) inspections of buildings, common areas, and amenities to uphold property standards.
  • Enforce and document preventative maintenance schedules and follow up on deficiencies.
  • Supervise vendor and contractor performance; ensure collection and verification of required documentation (COIs, warranties, lien waivers, etc.).
  • Support energy efficiency initiatives and guide capital improvement planning.
  • Maintain a comprehensive contract calendar to track expirations, renewals, and bidding deadlines.
  • Lead insurance claim submissions and assist boards during legal matters or disputes.
  • Contribute to the creation and refinement of standard operating procedures for maintenance and operations.

Job Requirements

Qualifications

  • Bachelor’s degree preferred.
  • Minimum of 3 years’ experience managing residential communities such as condos, co-ops, or HOAs.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong understanding of financial reporting, budgeting, and cost control.
  • Excellent organizational, analytical, and project management skills.
  • Outstanding written and verbal communication; effective in conflict resolution.
  • Familiarity with building systems and maintenance operations.
  • Experience supervising onsite staff and managing vendor relationships.
  • Must have reliable transportation, a valid driver’s license, and current auto insurance.
  • Use of personal vehicle is required for travel between properties.
  • Flexibility to attend evening board meetings and respond to urgent matters as dictated by management contracts.
