Job Description

The Office Administrator & Accounting Professional is responsible for managing the daily administrative, financial, and operational functions of the office. This key role supports the organization’s leadership by ensuring accuracy in accounting, efficiency in operations, and compliance across human resources and payroll. With a focus on financial management, reporting, and office administration, this position plays a vital role in supporting strategic decision-making and fostering a collaborative, service-driven office culture.

 

Responsibilities

 

  • Manage accounts payable and receivable, ensuring timely and accurate processing of invoices, payments, and collections.
  • Oversee client billing and invoicing, ensuring accuracy and timely collections to support healthy cash flow.
  • Maintain and reconcile financial records in accordance with company policy and accounting standards.
  • Assist with budgeting, forecasting, and the preparation of financial reports.
  • Monitor office expenses, manage vendor contracts, and identify cost-saving opportunities.
  • Process bi-weekly or monthly payroll, ensuring accuracy, timeliness, and compliance with regulations.
  • Track employee PTO, leaves, and attendance records.
  • Maintain up-to-date employee files and ensure HR documentation complies with employment laws.
  • Support recruitment efforts, including job postings, onboarding, and training coordination.
  • Serve as the primary point of contact for employee questions related to payroll, time off, and HR policies.
  • Generate and distribute regular reports and dashboards related to financial, operations, and productivity.
  • Ensure accuracy and integrity of internal data systems and record keeping.
  • Collaborate with leadership to monitor KPIs, cost metrics, and operational trends.
  • Oversee day-to-day office operations including supply management, vendor coordination, and equipment maintenance.
  • Develop and implement policies, procedures, and work flows to enhance operational efficiency.
  • Manage scheduling, internal communications, and logistics for meetings and events.
  • Support the effective use of office technologies and coordinate with IT providers as needed.
  • Serve as a central point of accountability for administrative operations and support staff.
  • Promote a professional, service-oriented, and collaborative work environment.
  • Provide high-level administrative support to leadership and professional teams.
  • Uphold and model organizational values of accountability, operational discipline, and service excellence.

Job Requirements

Qualifications

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (preferred). 
  • 3–5+ years of progressive experience in accounting and office administration, preferably in professional services (legal, financial, or real estate sectors).
  • Strong knowledge of AP/AR, payroll, financial reconciliation, and reporting.
  • Demonstrated success managing office functions in a fast-paced, professional environment.
  • Proficiency in Microsoft Office Suite; experience with accounting, HR, and payroll software is highly desirable.
  • Excellent organizational, multitasking, and problem-solving abilities.
  • Strong interpersonal and communication skills, with the ability to collaborate across teams.
  • High attention to detail and a strong sense of integrity and discretion with confidential information.
  • Ability to develop and refine systems to drive efficiency and effectiveness.
  • Solid grounding in accounting and financial processes, with the ability to manage budgets and reporting.
  • Proactive in managing administrative functions and supporting team success.
  • Flexible and resourceful in managing evolving priorities and solving operational challenges.
  • Committed to meeting the needs of internal stakeholders and supporting client service delivery.
