The perfect candidate for this position would find fulfillment in the following description:

Assist in the review and analysis of monthly invoice of banking services received against contracted bank service pricing and remits findings to Banking Services Officer

Provide recommendation for payment, non-payment, and track refunds

Drafts correspondence for submission to financial institution related to payment

matters, such as advice of non-payment due to discrepancies between contracted pricing, volumes, or non-contract services

Ensures monthly banking service and post office box invoices are received timely, tracks payment submission and progress to ensure prompt payment to vendors

Assist with bank account database management by coordinating the maintenance of the account BID folders to include processing open/close bank account requests received from agencies

Prepares proper signature card for internal and/or external agency signatures and coordinates update to the Bank

Prepares monthly audit report of Bank accounts recorded in the system of record to the database to ensure synchronization

Coordinate and facilitate issuance of biannual bank account audit surveys to financial institutions and annual account survey to agencies, and upon receipt of surveys, compare survey content to the current database and prepare a report of any discrepancies for the Banking Services Officer to review

Ensures request forms for online access to financial institutions systems are signed by proper officials

Maintains database of current online users and notify Banking Services Officer to remove separated employees from respective financial institutions database

Create, distribute, and follow-up on responses from agencies to online user survey to managers at the agencies to verify proper employee online access for submission to the Banking Services Officer

Assist the Banking Services Officer and Banking Analyst with the collateral report ensuring all banks, debt, and investment statements are attached and balances are accurately calculated and reflected

Request audit reports and deliver to the Banking Services Officer from financial institutions for review and signature

Must haves:

Knowledge of municipality banking processes, policies and general guidelines

Sound knowledge of the Microsoft Office suite of applications – including Word, Excel, Access, Office, and PowerPoint to create in-depth written documents and presentations, which articulate program information and document discussions and findings.

Sound knowledge of SharePoint or similar system to manage and maintain records and data

Strong organizational and project management skills, detail oriented, and experience managing confidence information
